When you book a session in your calendar with a session type that has a price, Sessionly creates the invoice automatically — no manual data entry, no forgetting to bill a client. The invoice picks up the client, session date, session type and amount from the calendar event.

Turn on auto-send in Settings and invoices email to your clients automatically, without you doing anything. Prefer to review before sending? Leave auto-send off and send invoices manually when you're ready. The setting is per organisation, so you stay in control.

For therapy agencies, this works at the agency level — the agency invoices the client at the agency rate, not the individual therapist. Therapists invoice the agency separately based on their own arrangement.

Reminders that work in the background

Configure two reminder points for your invoices — both optional, both adjustable. Send a polite reminder a configurable number of days before the due date, and a follow-up a configurable number of days after if the invoice is still unpaid. Set the timing that works for your practice and let Sessionly handle the rest.

For therapy agencies: reconcile therapist invoices against session data

In a typical agency setup, the agency invoices the client at the agency rate, and therapists invoice the agency separately based on their own arrangement — often a per-session rate agreed between the therapist and the agency. At the end of the month, the therapist submits an invoice (“I saw 12 clients this month, please pay £600”) and the agency needs to verify that against what actually happened.

Sessionly's Billing page gives agency owners a clear view of each therapist's session activity — per client, per date. When a therapist submits their monthly invoice, you can manually reconcile session counts, dates, and clients against what Sessionly recorded, before approving payment. To be clear: the Billing page is a reconciliation tool, not a payroll system. Sessionly does not store per-therapist payment rates, calculate what therapists are owed, or generate therapist-to-agency invoices. Frequently asked questions

Can clients pay invoices through Sessionly?

Not directly today — Sessionly creates and sends invoices, but client payment processing isn’t built into the app yet. Most therapists include their bank details on the invoice for direct transfer, or use a separate payment platform like Stripe or Wise alongside Sessionly. We’re working on built-in payment collection for a future release.

Can I customise my invoice template?

Sessionly’s invoices include your practice name and payment details (e.g. bank account and sort code) which you set in Settings. The invoice layout is standardised and clean, but there is no drag-and-drop template editor or custom branding on invoices today. We’re focused on getting the essentials right — auto-generation, reminders, and HMRC-ready export — rather than deep template customisation.

Does Sessionly export to Xero or QuickBooks?

Not via direct integration. Sessionly exports your finance data as a CSV file that’s straightforward to import into Xero, QuickBooks, or hand to your accountant. Most therapists find this works fine for an annual self-assessment workflow.

How do reminders work for clients with multiple unpaid invoices?

Each invoice has its own reminder schedule based on its due date. If a client has multiple overdue invoices, they may receive a separate reminder for each one. Reminder timestamps are tracked per invoice, so a reminder sent for one invoice does not affect the schedule for another.

Does the agency Billing page show what each therapist is owed?

No — the Billing page shows session activity per therapist per client per date. The agency uses this to reconcile against the therapist’s submitted invoice. Sessionly doesn’t store per-therapist payment rates or calculate amounts owed; that arrangement stays between the agency and each therapist.
